Vanishing Point takes your privacy very seriously. We are committed to being transparent about what personal information we hold and to keeping that in the safest regard.

This privacy Policy explains what data we collect and how we collect it, what data we hold and for how long, and how we process your data. It also explains the rights you have in relation to the data we hold.

What We Collect and How We Collect It

We collect personal data in the follow circumstances:

When you work with us

We will ask for your name, address, email address, telephone number, bank details, headshots* and biography*. If you are required to work in another country, we may request additional information such as date of birth, passport details, emergency contact details and any dietary requirements and restrictions. This is for the purposes of booking travel & accommodation and organising insurance and visas.

When you join our mailing list

When you sign up to receive our newsletter via our website, we collect personal information that you provide us with via our online form, namely; Your Full Name, Your Email Address, Your Telephone Number (optional) and Your Postcode (optional).

We use a third-party provider, Mail Chimp, to deliver our electronic newsletter and to store your details. Please see Third Parties for more information.

When you contact us through our website

We ask for your name, email addresses, telephone number and post-code. Please note that both the telephone number and postcode does not need to be completed if not relevant.

When you contact us directly by email

We collect your name and email addresses in order to proceed with communication, if necessary.

When you visit our website

Cookies

This site uses cookies – small text files that are placed on your machine to help the site provide a better user experience. In general, cookies are used to retain user preferences, store information for things like shopping baskets, and provide anonymised tracking data to third-party applications. Analytics
When you use this website, the hosting platform Squarespace is used to collect standard internet log information and details of visitor behaviour patterns. We use this to find out things such as the number of visitors to various pages on the site. This information is only processed in a way that does not identify any individual person. We do not make, and do not allow Sqaurespace to make, any attempt to find out the identities of the people visiting this website.

Third Parties

We use a third-party provider, Mail Chimp, to deliver our electronic newsletter and to store your details. We gather statistics of email opening and clicks using industry standard technologies to help us monitor and improve our communications. What Data We Hold And For How Long

When Working with Us

Vanishing Point holds and processes personal data in order to fulfill contractual obligations, including making payments. We will hold your personal information for as long as is necessary to fulfill our obligations and we will always make you aware of how long we will keep your data, for example in our Company Handbook.

When you join our mailing list

We retain this information through the ‘Campaign Monitor’ Server. To find out more information about your details being stored via Campaign Monitor, please see Campaign Monitor’s Privacy Policy.

When you contact us

When you get in touch with us through our website the information you enter is emailed to us at hello@vanishing-point.org. Depending on your query, once resolved, your details will be removed from our records.

How We Process and Handle Your Data

All data is stored securely on a locked server, with regulated and limited access all data access is password protected. The data collected is used exclusively by Vanishing Point in accordance with the General Data Protection Regulation (GDPR). Backups of the database are stored on servers including Dropbox and I-Cloud. We do not rent, sell or otherwise share information about our contacts with any other business, organisation or individual.

We do share anonymised data statistics with other organisations for the purposes of reporting to our main funders, working in partnership with other organisations and for our own evaluation reports.

Legitimate interests 

We may also use your information to further the legitimate interests of others, such as other partner organisations we work with or the general public.

Where we rely on legitimate interests to use your information for our legitimate interests, we make sure that we take into account any potential impact that such use may have on you. Our legitimate interests don’t automatically override yours and we won’t use your information if we believe your interests should override ours unless we have other grounds to do so (such as your consent or a legal obligation). 

Your rights and getting access to your information

The General Data Protection Regulation (GDPR) provides the following rights for individuals:
